NEAHL - HCR Roster Sync

NEAHL Rosters

 

New for the 2023-24 season, rosters on NEAHL will be synced directly from HCR.

 

The intention is to increase the accuracy of the rosters on NEAHL (no players or staff will be added to NEAHL unless they have been added to HCR) and to decrease the administrative burden on deputies and governors who have to monitor the rosters.

 

Therefore, teams and associations will NOT have access to add or edit any player or bench staff.  Managers will still have access to player jersey numbers.

 

Once a team’s roster is synced, any additions to a team’s roster on HCR will be automatically added to the team’s NEAHL roster by RAMP.  Rosters update hourly and will include any players or bench staff that have been newly added to the HCR roster, such as AP players, players who were on tryouts and not rostered to the team at the time of the original sync, and late registrations.

 

However, the updates will NOT overwrite any changes to a player or bench staff record that have been done through the NEAHL website, and changes made to the roster on NEAHL are not synced back to HCR.  For example, if Bartholomew goes by Bart, the team can ask their deputy or NEAHL web admin to modify the name on the NEAHL roster.  If the change is made in NEAHL, the name will not change with the next HCR update, nor will it change how the name appears on the HCR record.  Similarly, if coach or manager contact information was incorrect or missing in HCR when the roster was synced, the team can request that it be corrected on NEAHL for the season, but changes to the HCR record will have to go through the association’s registrar.

 

Additionally, if any players or bench staff are REMOVED from the HCR roster, managers will have to notify their deputy or NEAHL web admin to deactivate the player on the NEAHL website.  The HCR sync does not REMOVE players or bench staff in case their record is tied to any game stats (e.g. goals and penalties).

 

SYNC PROCESS

 

The Association will login to the Alberta One Hockey website (https://albertaonehockey.ca/).  Association login information was emailed out last year.  The league has requested that RAMP send out the login information to the NEAHL associations again this year in case the information was not saved.  The league web admin can also provide the login information by request.

 

From the menu, select “Submit HCR Teams”.

 

On the HCR Teams page, choose the 2023-2024 season and then click “View HCR Teams”.

 

For each team entered in NEAHL, click the check box and enter the League Requested Team Name and Suggested Tier.  You must enter something in those fields before submitting the rosters.  If your teams have already been created in NEAHL, it doesn’t matter what you use.  If your teams have not been created in NEAHL yet, you can use this feature to supply the team name and tier.  Reminder that team name must begin with the association name (see examples on the NEAHL team registration form).

 

To submit the rosters, either use the drop box selection on the right to submit teams one at a time to the NEAHL or use the Mass Update section on the bottom to send all selected teams to NEAHL at once (North Eastern Alberta Hockey League).

 

The league will receive the submitted items and can either connect the roster to the NEAHL team that has already been created or use the information to create new teams in NEAHL.

Important Notes:

 

You do not have to sync the roster at the same time that you register your teams with NEAHL.  Please register your teams with NEAHL as soon as possible even if you have not created your teams in HCR or do not wish to sync your roster yet.  Governors need to know team numbers and locations to work on preseason and league planning and determine how many deputy governors they need.

 

Rosters must be submitted/synced before league play begins.  Please do not leave this until just before your first game.  It is not an automatic system - the web admin must individually accept and link each submitted HCR roster to an NEAHL team.

 

Registrars please check team staff contact information prior to syncing your rosters.  If the information is missing or incorrect, you will have to go through the deputy governors or NEAHL web admin to have it corrected on the NEAHL roster after the sync.  PLEASE NOTE that the contact information is pulled from the HCR record, not the person’s spordle account profile (if they have one).  Only registrars or other authorized users are able to update HCR records.

 

As mentioned above, the NEAHL rosters will be continuously updated from HCR over the season.  You can sync your roster even if not all players have been added (e.g. if you are waiting before adding players who are at tryouts or you haven’t added your AP players yet).  As players are added to the HCR roster, they will be added to the NEAHL roster.  If a player is REMOVED from the HCR roster after the sync, notify the deputy governor or NEAHL web admin to have that player’s record deactivated on NEAHL.

 

An association could opt to submit their teams to NEAHL only via the Alberta One portal.  If so, the team login information will be sent to the team manager as listed on the roster.  If an association wishes to have team login information sent to one central person or there is no manager email listed, please still register your teams via the team registration form on the website.

 

Reminder that team login information will NOT be provided to any association that has not submitted updated contact information for the 2023 season.

 

Teams should have both phone and email contact listed for the team manager and the head coach.  If contact information is missing, please provide that information to the deputy or the NEAHL web admin to have it added.  Contact information is not required to be posted for other bench staff.  The default from the sync is that all bench staff contact information is posted.  You may send a request to the deputy or NEAHL web admin to have the other bench staff contact information hidden on the website.

 

Please do not submit U7 or U9 rosters.  Those divisions are not part of NEAHL.  If you wish to provide team contact information to be included in the contact list on the website, please use the U7 or U9 contact form.

 

If you submit a roster in error (e.g. you submit your AA team instead of your house league team), you will have to contact ramp support to unsync that team.  The league currently does not have access to unsubmit any teams, although that is a feature that may be added in the future.

 

This is a new process for the league.  Thank you for your patience as we adopt this procedure and discover the nuances of how it works.
